Set-up: NAiOS working with what you already use, one step at a time

The first module you see when you enter NAiOS suggests one small step at a time: connect your email and your calendar, bring your company's tools (connect them, import them or replace them with a module) and an assistant that accompanies you. If your programme isn't there, open a ticket and we'll conceptualise it with you. And if it speaks MCP, connect it with your account.

A new platform gets abandoned in the first week for a simple reason: what the company needs is still somewhere else. Email is in Outlook, the calendar in Google, invoices in the usual software and customers in a spreadsheet. Set-up is the NAiOS module that takes care of that. It's the first thing you see when you log in and it does one thing: suggest one small step at a time so that NAiOS works with what you already use, without leaving anything behind and without asking you for an entire afternoon.

In 30 seconds

  • One step at a time. Each card tells you how many minutes it takes, what you gain and what permissions you grant. No lists of twenty things.
  • Start with mail and calendar. That's where almost every company begins: Outlook, Gmail or any mailbox, and Google Calendar or Outlook calendar.
  • Your map. The tools your company uses and what to do with each one: connect it, import it or replace it with a NAiOS module.
  • If your software isn't there, open a ticket in Support from your platform and we'll conceptualise the integration with you.
  • If your tool speaks MCPModel Context Protocol (MCP)Standard protocol for models to connect with external tools, it connects to your account and the AI uses it from the chat, with confirmation for anything sensitive.
  • An assistant and notifications at your pace. A chat that explains each step, and a reminder of the next one every week, fortnight or month.
  • Available from today on all NAiOS platforms and on all plans.

A small, verified step

When you open Set-up you see a single card: the next step. Before you start it tells you three things: how many minutes it takes, what you gain when it's done and what permissions you grant. You press «Do it now» and it takes you to the exact screen where you do it, for example Mail → Accounts. When you come back and press «I've already done it», NAiOS checks it in the module itself: if the mail really receives, the step is done; if not, it tells you what's missing.

What you'd already done before entering isn't asked of you again. And if now isn't a good time, «Not now» parks it for a couple of weeks. If a module doesn't interest you, «I'm not interested» stops proposing its steps to you. Below you have all the steps with their status, in case you prefer to go at your own pace.

Each step says what it costs, what it gives and what it asks for, before you start.

My map: what your company uses and what to do with each thing

«My map» brings together the tools your company uses and the NAiOS modules you already use, and since when. You can add yours yourself; NAiOS discovers some on its own, for example Holded if your invoicing already syncs with the ERP. Each tool becomes a «Bring … to NAiOS» step, and there are three ways to bring it:

  • Connect it. If it has a connector in NAiOS, you authorise it with your account and it becomes available in chat and in your agents: Google and Microsoft, HubSpot, Notion, Dropbox, Mailchimp, Shopify, Slack, Zoom, Canva, LinkedIn, Instagram and hundreds more.
  • Import it. If it doesn't have a connector, almost all export to Excel. Set-up takes you to the right importer: invoices and expenses to the ERP, customers to the CRM, documents to the knowledge base.
  • Replace it. For some you don't need to connect anything, because a NAiOS module does the same thing. Metricool, Hootsuite or Buffer move to NAiOS Social; YouCanBookMe, Calendly or Doodle, to NAiOS Calendar bookings. The step is marked as done when you schedule your first post or create your first appointment type.

The software we're finding

Whilst preparing this module, we've reviewed what companies coming to NAiOS from the United Kingdom, the United States and other English-speaking countries use. Email and calendar are almost always Google Workspace or Microsoft 365, and both connect in five minutes. What changes from one country to another is invoicing and accounting:

  • United Kingdom: Xero, Sage 50 and Sage Business Cloud, QuickBooks, FreeAgent and KashFlow.
  • United States: QuickBooks, FreshBooks, NetSuite, Wave, Zoho Books and Bill.com.
  • Canada: QuickBooks, Sage 50, Wave and FreshBooks.
  • Australia: Xero, MYOB, QuickBooks and Reckon.
  • Ireland: Sage, Xero, Big Red Cloud and Bullet.
  • New Zealand: Xero, MYOB and Reckon.
  • South Africa: Sage Pastel, Xero, QuickBooks and Zoho Books.
  • India: Tally, Zoho Books, Busy and Vyapar.
  • Singapore: Xero, QuickBooks, ABSS and Financio.
  • Nigeria: Sage, QuickBooks and Zoho Books.

And in other areas, the same across all countries: HubSpot, Zoho, Salesforce or Pipedrive for customers; Mailchimp, Klaviyo, Hootsuite or Buffer for marketing; Shopify, WooCommerce, BigCommerce or Amazon for selling; Drive, OneDrive or Dropbox for files; Calendly, Doodle or Acuity for appointments; WhatsApp Business, Slack, Zoom or Teams for talking; Canva, Notion, Trello or Asana for working.

Today, of the invoicing software, Holded is the one with a direct connection to NAiOS: automatic copying of customers, products, invoices and expenses to the ERP, and access from the chat via MCP (we covered this in «This week in NAiOS: connection with Holded»). For the rest, the route is exporting to Excel and the importer, which works with any on the list. And for those of us who want to truly connect, what comes next.

If your tool isn't there: open a ticket and we'll think it through with you

We're not going to build connectors blindly. We prefer to do it with the company that needs it. If you use a programme that doesn't appear here, or that does appear but you want something more than importing an Excel, go into your NAiOS platform, open Support and tell us what programme it is and what you use it for. Any user can do this, you don't need to be an administrator. You can also click «I'd prefer help from a person» within Set-up: it opens the ticket with your progress and someone from the team will write to you.

From there we conceptualise the integration together: what data needs to travel, in which direction, how often, and where it comes in, because almost all the programmes on the list have an API and some already speak MCP. With that we decide whether to solve it with a connector, with a scheduled copy to the ERP like the one for Holded, or with an MCP server. Integrations that come from a real case are the ones that then serve everyone.

NAiOS MCP: if your tool speaks MCP, it's already connected

MCP (Model Context Protocol) is the standard by which an application exposes its functions to an AI. More and more programmes are incorporating it, and NAiOS speaks it natively with the NAiOS MCP module. You register a server with its address and a token, or you connect with your account for the service as you do with Holded, and its tools appear in the chat and in your agents. You can ask «what invoices do I have outstanding?» and the answer comes from your programme, not from a copy.

Each tool on the server is classified as read, sensitive or high-risk. Read tools flow on their own; those that write or delete always ask for your confirmation, including when an agent uses them. Access details are stored encrypted and never travel to the browser. If you administer a company in NAiOS, you can share the connection with your colleagues according to their access to the ERP, without them seeing your credentials. And applications created with NAiOS vibe codingVibe CodingProgram by describing what you want and letting the AI write the code already expose MCP without configuring anything.

For Set-up this means that the question «does your programme have MCP?» is the first one we ask when you open a ticket: if the answer is yes, the integration is one token away.

An assistant that accompanies you, and notifications at your pace

«Talk to the assistant» opens a chat in Talk with your set-up assistant. It explains each step, resolves questions like «what do I put in the IMAP server?» and checks with you that it's been done. You can tell it what tools your company uses and it will tell you how to bring each one. It has clear rules: it never asks you for passwords in the chat, it never connects anything for you (it gives you the link and you authorise in the provider's window) and it only sees set-up information, not your email or your documents.

You also decide the notifications. The next step arrives at the NAiOS bell and, if you want, by email: every week, every two weeks or every month. They're sent from Tuesday to Thursday in the morning, never twice for the same step in the same week, and if you don't open a couple in a row they space themselves out automatically. When you've got everything done, we only notify you if something new appears: a connection that drops or a tool to bring.

A person works with a laptop in a bright office; on the screen, a chat with bubbles and the last one lit up with a small rocket
The assistant explains the step and checks that it's been done; passwords are only entered in the module.

If you're in a company

Personal steps, your email and your calendar, belong to each person. Company ones, bringing in invoicing or CRM, are seen and marked by its administrators; the rest of the members only see their own. If a module isn't included in your plan, we mention it once and don't insist. And as for privacy: Set-up only stores the names of tools and counts like "one working email account". No addresses, no passwords, no content.

What it doesn't do yet

We'd rather tell you ourselves. This is the first version. Today's recipes are three: mail and calendar, review connections and bring a tool. The next ones will come from what you note down on the map and from the tickets you open: every programme that comes up repeatedly will have its recipe. Direct invoicing connection only exists with Holded; the rest comes in via Excel. And the assistant requires your plan to include Talk's AI; if it doesn't include it, all the steps are followed in the same way from the page.

Where it is

Set-up is the first module in the menu on all NAiOS platforms and is included in all plans, including the free one. If you're already using NAiOS, when you go in you'll see your next step. If not, create your account and start with email: five minutes.

This week in NAiOS: updates in fifteen modules and what each one reminds you of

Between 8 and 14 October, new versions of fifteen NAiOS modules have been released, almost all of them born from a support ticket: the Journal that reads like a book, quarterly VAT with a button, payments to the Spanish tax agency (AEAT) by form, fields on top of the PDF in Signature, payment reminders and rates in the ERP, and agents that see and hear. And, module by module, which program you already use each piece resembles and how it fits in with it.

NAiOS GIS: the map they sent you, open in a minute and in 3D

A shapefile zip, a Google Earth KMZ, a GPX or an Excel file with coordinates: until today, you needed a desktop program and a technician to open them. GIS, the new module included in all NAiOS plans, converts them into layers of a project, calculates hectares and kilometres, shows them on a map in plain language and in 3D over the real terrain, and lets the chat read them as attachments. It was born from a support ticket and was on all platforms in a day.
