The employee file, finally in one place
Every employee has a card: contract details, weekly hours, position, ID number and their documents — signed contract, qualifications, medical check-ups. Documents can carry an expiry date, and the system warns you 30 days before a medical check or a certificate lapses. No more discovering during an audit that the safety training expired eight months ago.
The working-time register the law requires
In Spain, a daily working-time register has been mandatory since 2019 (art. 34.9 of the Workers' Statute), and half the SMEs out there still fill it in from memory at the end of the month. In NAiOS RRHH each employee clocks in and out from their portal, with one big button that works just as well on a phone. Managers see in real time who is clocked in, the monthly report compares everyone's hours against their contracted schedule, and one click exports the month to a NAiOS Office spreadsheet ready to file or send.
Holidays and absences without email ping-pong
Employees request holidays or report sick leave from their portal; their manager approves or rejects with one click — nothing approves itself. Everyone sees their remaining balance at all times, and approved absences show up automatically in NAiOS Calendar: whoever is about to schedule a meeting sees that Marta is on holiday before inviting her, not after.
The payslip portal, with acknowledgement of receipt
Payslip PDFs are uploaded once — individually or in a batch — and the system delivers each one to the right employee by matching the ID number in the file name against their card. Each person sees only their own, downloads them from their portal and confirms receipt, so the company knows exactly who has received what. Not one more PDF by email, not one more payslip in the wrong inbox.
And one design decision we would rather tell you ourselves: NAiOS RRHH does not calculate payroll. Spanish payroll — collective agreements, contribution bases, income tax, social security — is the territory of the specialised software your advisor already uses. NAiOS organises everything that happens around the payslip, which is where the real time gets lost, and leaves the calculation to those who do it well.
New hires through a form
Connect a NAiOS Forms form to your company and new hires register themselves: the new person fills in name, ID, email and position, and their employee card is created automatically with the portal invitation already sent. If the email already belongs to an active employee, the system does not duplicate anything: it warns you and leaves things alone.
A copilot that knows your team
