NAiOS CRM: the 360 view of your customers

Your customer is scattered across seven places

The WhatsApp thread on your phone, the support tickets in your inbox, the appointments in a calendar, the quote in a folder, and "what we talked about last week" in the memory of someone who's off today. When that customer calls, nobody has the full picture. And the usual CRM doesn't have it either, for a structural reason: it lives outside all of that. You have to feed it by hand, copy and paste, maintain integrations — and by month three nobody updates it and everyone is back to the spreadsheet.

NAiOS CRM starts from the opposite premise: because it lives inside the same platform as your WhatsApp, your support desk, your calendar, your forms and your invoicing, each customer's profile builds itself. Zero integrations to configure, zero double data entry.

The master file of your business

Contacts and companies, your way

People and companies kept separate (one company, its contacts), with whatever fields your business needs: add custom fields — text, number, date or dropdown — without touching code. The search finds by name, email or phone — and phone numbers match even when one is stored with a country code (+34 600 11 22 33) and the other without it. If you create a contact with an email that already exists, the CRM warns you and offers to merge both profiles into one, with the duplicate's full history, deals and identities. Duplicates are the cancer of every CRM; this one cures them at the root.

The pipeline: your sales on a living board

Deals are worked on a real-time kanban: drag cards between stages and, when a teammate moves theirs, your board updates by itself. Every column shows its forecast: the total at stake and the probability-weighted figure (a "Proposal" stage at 50% counts half its amount — the honest number of how the month is going). Stages are 100% yours: start from a template (B2B sales, services, renewals) and then create, rename or delete columns with their probability; deleting one with cards asks where they should go. Winning calls for celebration; losing asks for a reason — and that reason is kept, so you learn.

Follow-up: nothing falls through

Every customer and deal takes activities — note, call, meeting, email, WhatsApp — and next steps with a date and a reminder: the bell (and your phone) warn you when they're due. The "My day" view is the salesperson's morning routine: today's next steps and the overdue ones, plus the stalled deals — the ones that have gone too many days without a single activity and are asking for a call.

The 360 profile: the piece nobody else can copy

Open a customer's profile and, below their data and sales activity, you'll find everything happening with them across the platform, without anyone linking it by hand:

  • Their WhatsApp conversations (OmniChat), matched by phone.
  • Their NAiOS Support tickets, with status.
  • Their Bookly appointments and NAiOS Calendar bookings.
  • The forms they filled in on your website.
  • The NAiOS Tasks cards linked to their account.
  • And if you use NAiOS ERP, their invoices with the risk in plain sight: how much they owe you and how many overdue invoices they have, matched by tax ID as well as email.

Matching is automatic by email, phone and tax ID, and it only shows what you're allowed to see: your businesses, your forms, your channels. If a module isn't installed, its section simply doesn't appear.

Built for teams, with permissions

Share a sales workspace and invite teammates with three levels: view, edit or admin. Everyone works the same pipeline in real time, and reminders go to whoever set the step.

Just ask the chat

NAiOS's AI works your portfolio — from the chat, from the module's side copilotAI CopilotAI Assistant integrated into work tools, or from WhatsApp:

  • "Summarise the Acme account before my meeting" → the full profile: data, open deals, latest conversations, and the payment risk if there are pending invoices.
  • "Who should I call today?" → your real sales agenda, overdue first.
  • "Create a contact for Laura Vidal, laura@nordica.es" / "note that I called her and she wants a proposal in September" → the profile feeds itself as you talk.
  • "Move the corporate website deal to Negotiation" → the board obeys.

The agency or B2B studio. Your website's contact form (NAiOS Forms) creates the lead straight into the pipeline's entry stage — and if that email already existed, it doesn't duplicate: it logs the new enquiry as an activity. The sales meeting is recorded on the profile and shows up in NAiOS Calendar; "prepare the demo" becomes a NAiOS Tasks card linked to the customer. And when you drag the deal to "Won", the CRM offers to create the quote in NAiOS ERP with one click — the whole sales cycle, from form to invoice, without leaving the platform.

The business that lives on WhatsApp. With your channel connected in OmniChat, every conversation without a profile gets a "create CRM contact" button: two seconds, and that chat is linked to their 360 forever. Next time they write, you open their profile and see the conversation, their support tickets, their appointments and what they still owe. From "a number that rings a bell" to a customer with a history.

The solo consultant. Going solo doesn't mean you need less CRM — you need one that creates no work. "My day" as the morning routine; the copilot summarising each account before the call; next steps dictated to the chat as they come out of meetings; and the follow-up leaving as a draft to NAiOS Mail, with the activity logged on the profile automatically.
