Verifactu is no longer "next year"
Since 2026, invoicing in Spain requires software compliant with the Verifactu regulation (Royal Decree 1007/2023): companies since January 1st, and everyone else — freelancers included — since July 1st. In practice, the law demands three things a spreadsheet cannot deliver: every invoice must live in a tamper-evident, chained record (touch one and it shows), the PDF must carry a verification QR code anyone can use to check it against the Spanish Tax Agency, and fixing a mistake must be done the legal way — with a corrective invoice, not by deleting and reprinting.
Meanwhile, half of Spain's small businesses still run on the "INVOICES 2026 FINAL" folder. The full document cycle
Quote → order → delivery note → invoice, with traceability between them: accept a quote and it becomes an order in one click, the order a delivery note, the delivery note an invoice — every document remembers where it came from. While a document is a draft you can edit it freely; when you issue it, it gets its serial number and is frozen forever. Number series are yours (FA-2026, QUO-2026, whatever you like per document type) and they roll over automatically at New Year without gaps.
There's the full invoice (F1) for customers with a tax ID and the simplified one (F2) — the counter receipt, no customer data needed. And if you got an issued invoice wrong, the "Corrective" button creates the credit note with negated lines and its own series, choosing the legal type (R1 to R5). The system won't let you do it wrong: an invoice that corrects another can only be issued as a corrective, and an F1 requires a customer with a tax ID.
Verifactu built in, not bolted on
Every issued invoice (and every cancellation) appends a record to a SHA-256 cryptographically chained log: each link carries the previous one's fingerprint, so modifying any of them breaks the chain detectably. The module's Audit section lets you verify it on demand and browse the system's event log. Every invoice PDF ships with its verification QR and the VERI*FACTU legend. And when submission to the Tax Agency goes live, a retry queue handles the sending: your invoice exists even if the Agency is down — issuing and submitting are decoupled, as they should be.
A catalogue that works for you
Set up your products, services or hours once — with price, VAT, equivalence surcharge if you're a retailer and IRPF withholding if you're a professional — and forget about it: type the name on a document line and price and taxes fill themselves in. If the product tracks stock, inventory goes down when you invoice, up with purchase entries, back if you void the invoice, and warns you through the bell when it hits your minimum.
Treasury: who owes me money?
Set your payment terms (30 days, 60, whatever's yours) and every invoice computes its due date alone. Record full or partial payments; when complete, the invoice flips to paid. The Treasury section shows what's pending with overdue invoices flagged — and here's the new part: the "Chase" button. Per invoice or all at once, the ERP prepares one email draft per overdue invoice — number, date, amount pending and your IBAN — and leaves it in your NAiOS Mail drafts folder. You review, tweak and send. Nothing ever goes out on its own.
Taxes and your accountant, in one click
The Taxes section gives you the quarter the way form 303 asks for it: base and VAT split by rate (21, 10, 4, surcharge apart), input VAT from your expenses, the resulting balance and — if you're self-employed — an indicative form 130 from the year's running total. The books of issued and received invoices (your expenses, with supplier and invoice number) export as CSV ready for Spanish Excel or as a NAiOS Office spreadsheet: editable, exportable to .xlsx and analysable with the platform's AI. Indicative figures, always — your accountant has the final word, but gets the work done.
Multi-company and teams
Running two businesses? An accounting firm with several clients? Each company lives apart, with its own fiscal data, its digital certificate (encrypted, never in the clear), its series and its own Verifactu chain. Switch companies with a selector and invite your team with view, edit or admin permissions.

NAiOS's AI keeps your numbers — in the chat, in the module's copilotAI CopilotAI Assistant integrated into work tools, even over WhatsApp:
- "How much did I invoice this quarter?" → the real breakdown by VAT rate, with the 303 balance.
- "Who owes me money?" → what's pending, overdue flagged.
- "Log €40 of fuel" → the expense is recorded with its input VAT.
- "Quote Acme €1,200 for the August maintenance" → the draft appears with its lines, ready to review.

The solo professional. A freelance designer invoices each project in two minutes: F1 with her 15% IRPF withholding per line, 30-day due date computed automatically. Expenses go in through the chat as they happen. On the 1st of each quarter she opens Taxes, checks the 303 and the 130, downloads the book as CSV and sends it to her accountant — ten minutes where there used to be an afternoon. Her clients live in NAiOS CRM, and when one runs late, the reminder leaves as a polite draft from her own inbox.
The shop and the workshop. A neighbourhood retailer under the equivalence surcharge: F2 receipts at the counter, F1 for the companies buying stock. The catalogue tracks inventory — sales subtract, purchase entries replenish, and the bell warns when tea boxes drop under five. Orders arriving over WhatsApp (channel connected in OmniChat) end up as an invoice without switching apps.
The service business with appointments and support. A clinic, a consultancy, a studio: a completed Bookly appointment becomes an invoice draft with one button; a billable NAiOS Support ticket, too. The deal won in the CRM arrives as a ready-made quote, the meeting lives in NAiOS Calendar, the work in NAiOS Tasks and the analysis sheets in NAiOS Office. Getting started takes five minutes
- 1. Open the ERP from your chat's modules menu: your company already exists.
- 2. In "My company", fill in the fiscal data and, if you like, your IBAN and payment terms.
- 3. Add your usual products or services to the Catalogue — or skip it and type lines by hand.
- 4. Create your first quote or invoice, pick the customer (CRM contacts show up too) and issue it.
- 5. The QR-stamped PDF comes out by itself; email it from the document.
